Position Summary
The Events Coordinator plays a key role in planning and executing DOP’s signature programs, member events, and community initiatives. This position requires exceptional organizational skills, creativity, attention to detail, and the ability to manage multiple projects simultaneously. The ideal candidate is passionate about creating experiences that engage members, elevate the DOP brand, and strengthen relationships within the downtown business community.
Reporting Relationship
This position reports to DOP’s President & CEO.
Job Duties & Responsibilities
EVENT PLANNING & EXECUTION
- Coordinate all aspects of DOP events, including but not limited to:
- Signature Events: State of Downtown, Golden Brick Awards, Downtown Employee Appreciation Week, Chow on Church, and Downtown Business Forums
- Member Events: First Friday Coffees, “4 to 7 in the 407” happy hours, ConnectDTO, and other member engagement programs
- Manage event timelines, budgets, logistics, vendors, and on-site execution
- Coordinate with venues, caterers, speakers, AV, décor, and other partners to ensure seamless experiences
- Prepare event materials, including run-of-show documents, signage, and guest communications
- Oversee invites and registration lists
- Identify event dates and times to mitigate conflicting with other downtown and regional events
SPONSORSHOPS & PARTNERSHIPS
- Support sponsorship fulfillment through recognition, signage, and benefit delivery
- Assist in developing event collateral, invitations, and marketing materials in collaboration with the CEO and Communications & Marketing Manager
MEMBER ENGAGEMENT & ADMINISTRATION
- Manage member communication related to event registration, confirmations, and follow-up
- Maintain event data, attendance tracking, and post-event reporting
- Provide support to the DOP staff to ensure consistency across all DOP programs
ON-SITE AND DAY OF RESPONSIBILITIES
- Serve as point-of-contact for vendors, sponsors, and guests during events
- Coordinate staff, volunteers, and logistics for set-up and breakdown
- Represent DOP with professionalism and hospitality at all times
- Manage day-of registration process
Qualifications
- Bachelor’s degree in event management, communications, hospitality, or related field preferred
- 1–3 years of experience in event planning, nonprofit, or marketing environment
- Exceptional organizational and project management skills
- Strong interpersonal and communication skills, both written and verbal
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Proficient in Microsoft Office, Canva, or similar design/event/CRM management platforms
- Must be able to lift up to 30 lbs and work occasional early mornings or evenings for events
- Ability to work without direct supervision in a small office environment
- Must be comfortable speaking in front of large audiences
- Possess a valid Driver’s License

Schedule
Full time or part time opportunity. Please specify in your application.
- Full time – 40 hours/week in person
- Part time – 20-35 hours/week in person
